THE QUICK ANSWER
An agent can add value when a project spans several suppliers, needs local visits, consolidation, material or colour coordination, or requires ongoing bilingual follow-up. Direct factory contact can be clearer for a focused product when the buyer can manage specifications, samples, quality and logistics. In either model, verify every party and put scope, fees, conflicts and deliverables in writing.
Start with the project map
List each product, process, supplier, sample movement, inspection point and shipment. One sewn harness from one qualified factory creates a different coordination load from a range combining webbing, moulded bowls, beds and packaging across specialist facilities. Count the interfaces before deciding who should manage them.
What an agent may do
Possible services include supplier search, identity checks, factory visits, translation, quotation normalization, sample consolidation, colour and material follow-up, inspection coordination and shipping handover. Do not assume all are included. Ask for the named person, visit or report format, response path, limits of authority and whether the agent may place orders or approve changes.
Disclose fees and commercial relationships
Request the fee basis, reimbursable expenses and any commission, rebate or ownership relationship with proposed suppliers. A percentage fee can scale with order value; a fixed fee may leave exceptional work outside scope. Neither model is inherently independent. The buyer needs enough disclosure to understand incentives and compare total cost.
Keep product responsibility traceable
Using an agent does not remove the need to identify the contracting supplier, production location, payment beneficiary and party responsible for quality and shipment release. Match legal names across quotation, contract and invoice. Require product-specific evidence and keep change approvals between the people authorized to make them.
When direct contact is the simpler route
Direct contact can suit one or a few products when the factory can communicate clearly, disclose its role and return complete records against the buyer’s brief. The buyer must still manage specification revisions, samples, inspection, payment and freight. If that workload is already covered internally, adding an intermediary may add handoffs without adding control.
How to evaluate an agent
Request business history, named personnel, relevant product experience, references, a sample report and permission boundaries. The US Commercial Service recommends detailed questions, trade and bank references, independent information and, where practical, observing an overseas representative’s facilities. Apply the same due diligence to an agent that you would to a supplier.

A useful comparison
| Project condition | Agent may help when | Direct factory may suit when |
|---|---|---|
| Supplier count | Several specialist suppliers must be coordinated | One qualified supplier covers the defined product |
| Local work | Visits, consolidation or frequent in-person follow-up are needed | Buyer can verify remotely and commission independent visits |
| Information flow | Agent returns structured, traceable reports | Factory communicates directly against the specification |
| Cost model | Fees and relationships are fully disclosed | Internal team can perform the coordination work |
